All official communication throughout the exchange will be done through email, including reminders for check-ins and upcoming deadlines. What are the requirements for this exchange?
You are required to submit at least one *COMPLETED work, at least 2000 words in length, that complies with your recipient's requested prompt. Your work must follow the recipient's guidelines (ex. no smut, no gore, etc) and must be completed by the deadline, Saturday, May 13, 2023. Chaptered works are allowed, but all chapters must be posted by the deadline.*By complete, we mean that your work must have a definitive ending and be able to be read on its own without the promise of future chapters or parts in a series.
Can I swap assignments if I don't like the prompts I'm assigned?
The quick answer is no.
It never hurts to ask, in case we have another participant who is unhappy with the assignment they're given, but by the time assignments are sent out, all assignments have been matched to an author. There are no extra assignments lying around to trade.
We work very hard to make sure that every participant is matched with the best assignment for them. We do this by comparing the prompts available to the offers given. In order to receive the best possible assignment for you, we suggest that you be very clear in your offer exactly what you can/will write and what you can't/won't write. We have created a Prompt Guide and an Offer Guide to help you create prompts and offers that will lead to the best assignment and gift for you.Can I write more than one of the prompts I'm assigned?
Absolutely! The minimum requirement is one completed work, but if you love all of the prompts you receive and have the time, feel free to write them all. Just be sure that all works are complete by the time of reveals.Can I include members from other groups or original characters?
Yes. The main pairing must be ATEEZ member/ATEEZ member, but as long as your recipient doesn't specifically say not to, feel free to add background characters from other groups or even original characters if you like. Just make sure that it's clear your work centers on the ATEEZ members and not your other characters.What is a check-in?
For this exchange we will have two check-ins, due on Saturday, March 18, 2023 and Saturday, April 15, 2023. These will be done through Google Forms, and they're just a way to touch base with each participant to make sure that everyone is still participating and that we haven't lost contact with anyone. We will email you the link to the form and all you'll need to do is fill it out. We'll be asking questions like which prompt you've chosen to work on, whether you're still planning to continue participating, and if you have any questions for us. In addition, we will include a place to submit a screenshot of your outline, a snippet of your work, or your current word count.
AS THE GOAL OF THE CHECK-IN IS MORE TO MAKE SURE YOU ARE STILL PARTICIPATING AND HAVEN'T FORGOTTEN ABOUT US, THE TOTAL WORD COUNT ON THE SCREENSHOT IS NOT IMPORTANT TO US. THE IMPORTANT PART IS FILLING OUT THE FORM. EVEN IF YOU FEEL LIKE YOU'RE A LITTLE BEHIND, PLEASE SUBMIT THE FORM AS SOON AS POSSIBLE.What is a drop-out deadline?
The drop-out deadline for this exchange is Saturday, April 15, 2023, the same day that second check-in is due. If for some reason you find that you won't be able to complete your assignment, please contact us on or before the drop-out deadline to let us know. We understand that sometimes life happens, so we will never be mad if you need to drop your assignment. All we ask is that you let us know as soon as possible so that we can find a pinch hitter to take over your assignment and give them the most time possible to work on the assignment. You can even drop out via your check-in form by clicking 'no' in the 'Are you still planning to continue participating?' section. As with anything in this exchange, communication is key. If you fail to contact us about dropping out, we might not be able to let you participate in future events we host (such as the next round of All Hallows ATEEZ or ATEEZ Spring Fantasy).What is a pinch hitter?
A pinch hitter is someone who takes an assignment in place of another participant who has dropped out due to extenuating circumstances. Pinch hitters do not take over writing on a previously started work. They are required to write a full, completed story from scratch using one of the prompts from the assignment that has been dropped. Because a pinch hitter has not submitted prompts, they will not receive a gift, but it's still a great way to participate in the exchange even if you missed the sign-up period. If you are interested in signing up as a pinch hitter we will be sharing a sign-up link through email and on Twitter sometime after assignments are sent out on Saturday, February 18, 2023.Will you be allowing deadline extensions?
LIMITED extensions will be available for the final deadline. In order for our reveal schedule to work and for authors to be revealed on May 31, we need as many participants as possible to turn in their works on or before the deadline.
ALL WORKS SHOULD BE TURNED IN BY 11:59 PM EDT ON THE DAY WE BEGIN REVEALS. The final deadline for this exchange is Saturday, May 13, 2023, and we will begin revealing works the following week on Saturday, May 20, 2023. The week between the deadline and the start of reveals is for the moderators to review each submission to check that all tags and warnings on each work are accurate. Late submissions put extra pressure on the mod team to get everything reviewed before reveals.
That being said, we do understand that life happens. If you need an extension, we will do our best to accommodate you, within reason. YOU MUST COMMUNICATE WITH US AND CONTINUE COMMUNICATING WITH US. By that we mean, let us know as soon as you realize that you will not be able to complete your work by the deadline, tell us what date you think you will be able to complete your work, and if that date changes, please let us know.
We would always prefer to allow a participant to complete their assignment rather than send it to a pinch hitter at the last minute, but if you do not communicate with us, we won't be able to do that. If we message you about a missed extended deadline, you must respond within 24 hour hours or we will have to drop you from the exchange and transfer your assignment to a pinch hitter. Please don't leave us scrambling to get a gift for your recipient with no time to write it.

Rules:
1) The absolute most important rule of this exchange is that you communicate with us. If we feel we have lost communication with you we will have to drop you from the exchange and transfer your assignment to a pinch hitter. Respond to our emails and direct messages promptly, within 24-48 hours depending on the content of the communication. We will usually let you know how long we can give you to respond, but remember that sometimes your responses dictate how we proceed with other matters in the exchange. (For example, if we are relaying a question from your author, that participant is waiting on your response to continue writing.)
Along with this, we welcome you to let us know if you are struggling with your fic in any way. Whether it's a lack of motivation/inspiration or you just need validation that your idea is going in the right direction, we are here for you. Whatever it is, tell us what's going on, and we will do our best to support you in any way we can.
2) Before signing up, please make sure you have time to produce at least one piece of fiction for another individual within the time frame given. (Check above for the entire exchange schedule.) Remember, this is an exchange. No freebies are allowed. If you do not complete your work, you will not receive a gift.
3) Your work must be COMPLETE by the deadline. We will not be allowing unfinished works, and if your work is chaptered, all chapters must be posted at the time of reveals. If you wish to add to the world you've created at a later date in the form of a sequel, prequel, or companion piece, feel free to do so, but THE WORK YOU SUBMIT FOR THIS EXCHANGE MUST HAVE A DEFINITIVE ENDING AND BE ABLE TO STAND ON ITS OWN WITHOUT THE PROMISE OF FUTURE CHAPTERS OR PARTS OF A SERIES.
4) If you miss a check-in or deadline and we do not hear from you via email, Twitter, or Discord within three (3) days, you will be dropped from the exchange and your assignment will be transferred to a pinch hitter. If you fail to respond to us within 24 hours of a missed extended deadline, you will be dropped from the exchange and your assignment will be transferred to a pinch hitter. This might sound harsh, but we need to give our pinch hitters all the time possible to complete their works, especially since they're already working at a time disadvantage. Don't worry, we will make every effort to contact you before this happens, but it will be your responsibility to respond to us on time. As long as you follow rule 1 and communicate with us in a timely manner, this should not be an issue.
5) Please read all communication from us thoroughly and respond promptly and appropriately. For example, you will be asked to respond to our welcome email to make sure we have transferred the information correctly from the Google form. Please do this before you click the link to submit your prompts. If we lose contact with you or you fail to follow instructions, you will be dropped from the exchange and your assignment will be transferred to a pinch hitter. Make sure to notify us if your contact information changes. There will be a place on each check-in form to inform us of changes in contact information.
6) This is an anonymous exchange. Please refrain from revealing your work or assignment to anyone (except your beta(s) and the mods) until authors have been revealed at the end of the exchange. This means not discussing the prompts, story, or recipient on public platforms such as Twitter or Tumblr or even private Discord servers, including posting screenshots or snippets of your work. Also please do not post links to your social media in your author's note or name your beta or any friends who helped you with your writing until authors are revealed, and restrict any specific discussions regarding your assignment to private 1:1 messaging. It is fine to talk to your recipient, but please don't mention the assignment to them.
7) All works will be posted anonymously and unrevealed to the collection. You are allowed to post your work any time before the deadline and it will automatically remain unrevealed until the moderators begin reveals. If you wish to submit your work early, before we've sent instructions on how to post, message us and we can walk you through it. We will be revealing the works in groups over the course of eleven (11) days from May 20 to May 30. Authors will remain anonymous until all works have been revealed. Once authors have been revealed on May 31 you may crosspost or link your work via other platforms or contact your recipient regarding your work. After author reveal you may also edit your author's note to credit friends or betas or to add links social media.
8) We do encourage moodboards/fanart. Moodboards and art are a great way to draw a reader in even before they've read the summary of your work, so if you would like to create or commission a moodboard/art to be posted on Twitter when we reveal your work, just be sure to send it to us via email or Twitter DM before your fic is revealed. If we need to credit someone else for your art or moodboard, that is fine, just let us know who to credit and ask the artist or creator not to mention who commissioned the work until after authors are revealed. If you have any questions about this please feel free to message us.
9) Please do not contact your recipient directly with questions about their prompts. If you have questions regarding your assignment, please contact the mods. If we can't answer your questions, we can contact your recipient for you.
10) For this exchange, please only prompt and write ATEEZ members as main characters, and make sure the main pairing is member/member. No member/reader or member/original character pairings will be allowed as main pairings. Members of other groups and original characters are allowed only as secondary characters and only if the prompt does not specifically state otherwise. Also remember that on Ao3 member/member tags indicate romantic relationships while member & member tags indicate platonic relationships.
11) All works must be a minimum of 2000 words. There is no maximum word count. Feel free to write an entire novel if you have time, but be sure your work will be complete by the deadline.
12) Although we do not provide beta matching for this exchange, we highly recommend that your work be edited before posting, either by a beta reader or by yourself. Mod Bug might have time to edit for a limited number of participants on a first come, first served basis, and if you are looking for someone to talk through your writing with, to help with plotting or outlining or if you have written yourself into a corner (we all do that occasionally), any of the mods are always happy to help. If you wish to request help, please reach out to us at any time.
13) Try to stick to the basics of your recipient's prompt and pay attention to any special requests, tags, or do not wants they have included. Creativity is always encouraged, but remember to stay within the guidelines set by the prompt. If you find yourself wondering if something is appropriate within the prompt guidelines, please contact us so that we can ask your recipient for you.
14) If you find that you cannot finish your assignment on time, please contact us as soon as possible. There is a drop-out deadline posted; please observe it. We need time to find pinch hitters, and those pinch hitters need time to write. If you disappear on us or let us know last minute that you won't be able to complete your work, we may not be able to let you participate in future events that we host. You can contact us directly via email, Twitter DM, or private Discord message, or you can even drop out via your check-in form by clicking 'no' in the 'Are you still planning to continue participating?' section.
15) Plagiarism will not be tolerated. Please make sure to write something truly original.
16) You are allowed to submit 3-5 prompts. Prompts must have a fantasy theme. This could be fae/fairies, witches/magic, dragons, mermen/mermaids, vampires, werewolves, other mythical creatures, etc. If you are unsure if your idea qualifies as fantasy please don't hesitate to contact us.
17) Dark content is allowed, but please limit prompts containing graphic violence, gore, major character death, rape/non-consent, underage, polyamory, and hard kinks to one prompt out of three (1/3) or two prompts out of five (2/5). This is for ease of matching as not everyone is comfortable writing this content. It is difficult to match a set of prompts if all of the prompts contain these themes/elements. The only exception to this rule is if you indicate in the description section of the prompt that these themes/elements are optional.
***Remember that "extreme" and "hard kinks" are subjective terms. If there are any elements or kinks that you consider extreme and do not wish to see them in your gift, please list them specifically in the description section of your prompt as other people might not know what you mean if you simply say "extreme".
18) Be only as specific as necessary with the plot of your prompts. Remember to include things that you DO WANT (DW) to see in your gift, any ideas or suggestions to make it really special for you. Also include anything you DO NOT WANT (DNW) to see in your gift. At the same time, be sure to leave your author room for creative freedom. Try not to detail the entire plot of the fic in your prompt. 19) Make sure that all of the prompts you submit are different. You are allowed to tag multiple ship options for each prompt, and though the prompt submission form limits how many ships you can tag, you can always add more options to the description. One prompt submitted multiple times with different ships is not necessary and doesn't give your author much to work with. 20) Please be specific in your offer as well so that we can give you the best match possible. We will be matching manually, as always, and we will consider everything you've listed in your offer to choose the best set of prompts for you personally. Again, if you need help with your offer, we've created an Offer Guide. (It is a different, separate document from the Prompt Guide.)
**These guides have been created by your mods based on our extensive experience with both participating in and moderating exchanges. We learn something new every time we do this, and we just want to share the things we've learned to help everyone have the best experience possible in this event. We also have a General Participant Guide with further information about participation.
21) NO ONE UNDER 18 WILL BE ALLOWED TO PARTICIPATE! If you are under 18, please keep us in mind as we announce future events.
22) Be supportive of other participants by reading and sharing the works posted in the collection if you have time. Check all tags and warnings before reading as some works might contain triggering content. Leave kudos and comments on their work if you like what you read, and please be kind and considerate in the comments. Also remember that everyone can read the tags and notes in your bookmarks unless they are private. DO NOT LEAVE UNKIND COMMENTS ON ANY WORK IN THE COLLECTION! Fan wars, ship wars, and member or author bashing will not be tolerated.
23) Everyone participating in this exchange is an amateur writer. We are open to participants of all levels of writing experience and even to those for whom English is a second or even third or fourth language. We mods firmly believe that everyone has to start somewhere, and fests and exchanges offer a great starting point for new writers by providing prompts to follow and feedback from other participants.
That being said, remember that the gift that you receive might be written by ANYONE who signs up. Be understanding when receiving your gift, and be kind, no matter the author's writing experience level. If you feel that the gift does not follow the prompt you submitted, please contact the mods. Do not leave these concerns in a comment on the work or contact the author directly.
