It's almost election time! Being a member of the Organisation for Transformative Works (OTW) means being able to vote for its Board of Directors. This helps affect how projects such as the Archive of Our Own, Fanlore, and Transformative Works and Cultures are run now and going forward. This year, our election for the Board of Directors will be held from August 11 to August 14. (Access the full Elections Timeline for 2023).

In order to vote, you need to be a member of the OTW by midnight UTC on June 30, 2023 (What time is that for me?). Please note that your donation receipt will be dated in US Eastern Time, so if your donation is listed after 19:59 on June 30, 2023 on the receipt, you won't be eligible to vote. That means that you have to have made a donation of US$10 or more between July 1, 2022 and June 30, 2023, AND have chosen to become a member when donating. In order to become a member, you need to select "Yes" in response to the question "Do you want to be an OTW member? ($10 minimum donation)" on the donation form. Communications Media Outreach Volunteer

Communications volunteers are responsible for the distribution of information internally to OTW personnel and externally to the general public, the media, fans, and other fannish organizations. Communications is also typically the first point of contact for someone interested in or wanting help from OTW.

The Media Outreach group is responsible for various tasks and projects related to public relations and writing news posts. The position of Media Outreach Volunteer would be a good fit for someone with an interest in outreach to journalists and to the public about the OTW's activities and developing a deep knowledge of the OTW. Experience with blogging, social media, or similar communication-related tasks is required. Experience with public relations or journalism is ideal but not required.

Communications Chair Track Volunteer

Do you love working with people? Are you an organizational wizard? Can you communicate clearly to a diverse audience? The Communications committee is looking for new chair-track volunteers to join our team.

Communications is the central information distribution team for the OTW. We manage news posts, media outreach, social media, and more. The chair-track volunteer position is for people who have the time and dedication to learn all about our operations so that they can be considered for the role of committee chair.

We're looking for someone who has experience with communications and an understanding of social media, who is comfortable with personnel management and training new recruits, and who can write and edit for a global audience. If that's you, please apply!

The Tag Wranglers are responsible for helping to connect and sort the tags on AO3! If you’re an experienced AO3 user who likes organizing, working in teams, or having excuses to fact-check your favorite fandoms, you might enjoy tag wrangling! Candidates Announcement

The Organization for Transformative Works is pleased to announce the following candidates for the 2023 Election (in alphabetical order by given name):

As previously advised, Heather McGuire is stepping down from her position on the Board, and so there will be four open seats in this year's election, one of them a partial term of two years. The candidate who places fourth will be elected to this seat. We are grateful for Heather's service and thank her for her work and dedication.

Because we have four seats to be filled and seven candidates, the 2023 election will be contested – that is, the members of the OTW will vote on which candidates fill the seats.

The Elections Committee is excited to introduce the candidates to all of the members of the OTW! Included in this post are links to short Bios and Platforms written by the candidates. This post also marks the beginning of our Q&A period, during which we invite the public to submit questions for the candidates. Additionally, we will be holding a series of live chats – dates and times for those are to be announced based on candidate availability. Information on the voting period and how to vote will also be posted shortly.

Candidates will also answer questions from the public. Anyone may submit questions via the Elections form. Please submit all questions by 11:59pm UTC on June 25 (what time is that where I live?). All candidates will answer each question submitted, subject to the following restrictions:

• Questions can be a maximum of 50 words long.
• Questions must not be repeats of questions from the Platforms. This is to allow candidates to spend their time answering new questions.
• Similar questions will be grouped together so candidates don't have to repeat themselves. Elections volunteers will decide which questions are similar enough to group.
• If you have a follow-up to a Platform question, please specifically mention that it is a follow-up so it isn't treated as a repeat.

I. BOARD OF DIRECTORS UPDATES

The Board knows that it needs to improve its internal and external communication about updates on ongoing work and we have published an update on the commitments we've made in 2020 to combat racism in our platforms. We completely understand that it's often frustrating for volunteers and fans alike when various discussions and projects take a long time to move forward. The Board will do its best to provide ongoing updates on these projects.

We have also scheduled a public meeting on the 2nd of July at 20:00 UTC (What time is that for me?), where anyone present will be welcome to ask any questions you may have. The meetings are held in the OTW Board's Discord server.

On the topic of AI, we've published a news post clarifying our current stance on AI and data scraping, as well as the actions we've taken regarding data scraping of AO3 works so far. At the moment, the Archive's Terms of Service do not forbid works created (fully or partly) with the use of AI tools. In December 2022, the AO3 development team deployed code disallowing Common Crawler, the scraper for datasets used to train ChatGPT and others, from collecting data on the Archive. Please access AI and Data Scraping on the Archive to read more about this topic.

On the subject of efforts towards combating harassment, racism and bigotry on our website and organization, last year, the Board recruited a Diversity Consultant Research Officer, with the task of gathering information on the OTW's requirements for a Diversity Consultant, contacting prospective companies that are suitable for our characteristics as an organization, and presenting candidates for the Board to select. The officer is currently interviewing OTW volunteers and making a list of likely firms for the OTW to approach.

Another ongoing process towards this same goal is a review of AO3's Terms of Service, which started in 2020. While the review is still in progress, the Policy & Abuse and Legal teams have agreed on some changes about harassment in general, and about works created with the clear intent of making AO3 unwelcoming, which we believe will be valuable in protecting fans of color against racist harassment in the future.

II. AT THE AO3

In May, Open Doors completed the import of Viggorli Secret Santa, a Lord of the Rings RPS fanfiction gift exchange focused on the Viggo Mortensen/Orlando Bloom pairing. Open Doors also announced the import of The Weir/McKay Fanfiction Archive, a Stargate Atlantis fanfiction archive.

Policy & Abuse received "just" 1999 tickets in April! We like nice, even numbers, but 1999 is a nice number, too. At the time of this writing, Support's tickets were trending a little bit lower in May, with a projected total of around 1500 seeming likely.

Meanwhile, in April, Tag Wrangling wrangled more than 472,000 tags across more than 57,000 fandoms, more than a thousand tags per active wrangler!

III. FANLORE OUTREACH

May was a busy month for Fanlore. Its editing chat in its Discord server, focused on link archiving, was a big success. Thanks to everyone who took part! Also in May, Fanlore celebrated Comics Month across its social channels. Check out the pages highlighted on the Fanlore Tumblr page.

It's not too late to join in Fanlore's recent activities! Its annual Fanlore Bingo Challenge is in full swing from Monday, June 5, to Sunday, June 18, and the theme is Fruits & Veggies! Any Fanlore visitors and editors, new and old alike, are invited to participate.

IV. BOARD OF DIRECTORS ELECTION

Elections is busy preparing for the 2023 election season! The Board of Directors approved an update to Elections' eligibility requirements in May to specify that all candidates must be 18 at the time they declare their candidacy.

If you'd like to vote this year, the deadline to become a member is June 30th. To be eligible for membership, you must make a donation of at least $10 USD between July 1, 2022, and June 30, 2023, and check the Yes box to specify you want to become a member. If your donation receipt indicates you checked No to membership, you can still get in touch with the Development & Membership committee via our contact form and request your donation record be updated so you can vote this year!

V. ELSEWHERE AT THE OTW

Development & Membership is starting convention outreach work. Its first outing this year was at Eurocon in Sweden on June 8-11.

Legal worked with Communications to draft the June edition of the OTW Signal, focused on the U.S. Supreme Court's ruling in the fair use case of Goldsmith v. Warhol. While the case did not come out the way that the OTW advocated for, its holding is limited and unlikely to have an impact on fanworks, especially noncommercial fanworks.

Finally, TWC recently announced a new special issue on AI and Fandom – submissions close Jan 1, 2024. TWC is also still accepting submissions for its special issue on Centering Blackness in Fan Studies until July 1, 2023.

From 25 April to 24 May, Volunteers & Recruiting received 85 new requests, and completed 68, leaving us with 73 open requests (including induction and removal tasks listed below).

In 2020, the Organization for Transformative Works (OTW) made a commitment to our users, members, and volunteers that we would work towards making our organization and our projects more welcoming and inclusive to fans of color, and preventing and combating racist harassment on our platforms.

Today, we'd like to provide an update on what steps we have taken so far to accomplish those goals, and what still needs to be done. But first, we have a duty to acknowledge that this work hasn't been nearly as prompt as we had hoped, and that the main victims of our delayed progress are the people of color who continue to suffer due to harassment and slow action. In May, fans organized a campaign against racism in the OTW, and we want to take a moment to thank everyone who participated. We hear and appreciate the people who continue to reach out to us, to share their ideas and their concerns, and to hold us accountable.

What We've Done So Far

Since the posting of our original plan in 2020, we have completed or made significant progress on a series of goals to help protect our users and volunteers against harassment:

• We implemented the ability to freeze comment threads and turn off comments on your works entirely, giving you more control to moderate interactions on your AO3 fanworks.
• User muting was introduced to help you avoid encountering works, bookmarks, or comments from specific users when browsing the Archive.
• We have implemented comment blocking to prevent specific logged-in users from commenting on your works entirely.
• You can now opt out of receiving gifts on AO3, as well as opt out of allowing your works to be invited to collections.
• We have improved admin tools to facilitate investigations by our Policy & Abuse team.
• Internally, we have updated our Code of Conduct to make it explicit that discrimination based on caste is not tolerated in the OTW.
• We also implemented methods for volunteers to contact and submit feedback to the Board anonymously by introducing a separate feedback form.

We are still committed to working towards giving you more control over how you experience the Archive going forward. To that end, we will be expanding blocking features to cover more user interactions, and further limiting how guest users can interact with you on the Archive.

What We're Working On

We have been reviewing the Archive's Terms of Service to help the Policy & Abuse team address different types of harassment. This review is still ongoing, but we hope to complete it soon. Once concluded, any planned changes to the Terms of Service will be made available for public comment in a dedicated news post.

Alongside this review, the Policy & Abuse team continues to improve and calibrate their internal policies about harassment and hate speech in icons, user names, and other non-story elements. The team strives to remain vigilant and flexible in order to respond appropriately to new harassment vectors as needed.

Internally, back in 2021 the OTW opened recruitment for a Diversity Consultant Research Officer (DCRO). They began their work in 2022, contacting internal stakeholders and researching firms. The DCRO hopes to finish their internal studies by September, and has already begun to investigate potential contractors.

Communications Improvements

One of the areas the OTW has been working to improve in is transparency in communication. We know how important these topics are to our users, and we will be trying to better keep you informed about what we're doing to combat and prevent racism in the OTW and on AO3.

One change we have already implemented is to provide quarterly updates on our diversity work during OTW Board of Directors public meetings. These meetings take place on Discord and can be attended by anyone. There are a few ways you can know when a meeting is coming up:

• Keep an eye on the OTW's Twitter account—every meeting is announced at least one week in advance.
• Join our Discord server—as soon as a meeting is scheduled, a notification will appear in the meeting channel.
• Subscribe to the Board Calendar so that new meetings will show directly on your personal calendar.

Additionally, we will be making an effort to include all information discussed in these meetings in the OTW's monthly newsletter. The newsletter will also provide smaller updates between meetings whenever possible.

We understand how frustrating these delays have been, and we deeply apologize. We remain committed to making our spaces more welcoming and safe for all users. Smoochies, a multi-fandom fanfiction and fanart archive, is being imported to the Archive of Our Own (AO3).

Background explanation

Smoochies was a site dedicated to bishounen, shounen-ai and yaoi fanworks. It ran from late 1997 to early 2003. During its life, it hosted some amazing works that its moderator, Melanie, would hate to see lost. They need to be preserved and enjoyed by new fans, instead of living on an old submissions cd-r in the back of a drawer.

The purpose of the Open Doors Committee’s Online Archive Rescue Project is to assist moderators of archives to incorporate the fanworks from those archives into the Archive of Our Own. Open Doors works with moderators to import their archives when the moderators lack the funds, time, or other resources to continue to maintain their archives independently. It is extremely important to Open Doors that we work in collaboration with moderators who want to import their archives and that we fully credit creators, giving them as much control as possible over their fanworks. Open Doors will be working with Melanie to import Smoochies into a separate, searchable collection on the Archive of Our Own. As part of preserving the archive in its entirety, all fanfiction and fanart currently in Smoochies will be hosted on the OTW's servers, and embedded in their own AO3 work pages.

We will begin importing works from Smoochies to the AO3 after July. However, the import may not take place for several months or even years, depending on the size and complexity of the archive. Creators are always welcome to import their own works and add them to the collection in the meantime.

What does this mean for creators who had work(s) on Smoochies?

We will send an import notification to the email address we have for each creator. We'll do our best to check for an existing copy of any works before importing. If we find a copy already on the AO3, we will invite it to the collection instead of importing it. All works archived on behalf of a creator will include their name in the byline or the summary of the work.

All imported works will be set to be viewable only by logged-in AO3 users. Once you claim your works, you can make them publicly-viewable if you choose. After 30 days, all unclaimed imported works will be made visible to all visitors. We will then permanently close down the site.

Please contact Open Doors with your Smoochies pseud(s) and email address(es), if:

1. You'd like us to import your works, but you need the notification sent to a different email address than you used on the original archive.
2. You already have an AO3 account and have imported your works already yourself.
3. You’d like to import your works yourself (including if you don’t have an AO3 account yet).
4. You would NOT like your works moved to the AO3.
5. You are happy for us to preserve your works on the AO3, but would like us to remove your name.
6. You have any other questions we can help you with.

Please include the name of the archive in the subject heading of your email. If you no longer have access to the email account associated with your Smoochies account, please contact Open Doors and we'll help you out. (If you've posted the works elsewhere, or have an easy way to verify that they're yours, that's great; if not, we will work with the Smoochies mod to confirm your claims.)
