Organization for Transformative Works Elections News

The Elections Committee would like to condemn in the strongest terms the recent harassment campaign aimed at one of our candidates.

While all OTW Board election candidates are prepared to run, and if elected or appointed, serve under their legal name, the intense harassment of Audrey goes well beyond what is appropriate during the candidacy period. We do not condone the harassment of the candidate or their employer.

For the second year in a row, an OTW Board election candidate has been subject to a campaign of harassment and misinformation. We regret that we failed to step in last year when another candidate was harassed, and it is on us that both candidates were exposed to such harassment without an official response. Historically, we've tried to make minimal public statements to ensure that the committee as a whole stays neutral and impartial in public discussions about a candidate's suitability for the OTW Board of Directors.

The OTW is committed to holding elections that are fair and contested. This is necessary for empowering OTW members to vote for Board Directors that best represent their interests and help manage the OTW as a whole. As part of maintaining a fair and contested election process, the Elections Committee will support all eligible candidates who declare candidacy. Our candidate eligibility requirements are publicly available on our website, and we welcome candidates who hold varying perspectives and aims for the OTW's future.

If an OTW member has concerns about a candidate, then they can choose to not rank that candidate on their ballot. The Elections Committee employs an adapted IRV voting system in our elections, which allows members to rank candidates and requires elected candidates to have majority support from our membership to be elected. It is the Election Committee's position that only OTW members should determine who serves their interests on the Board of Directors.

If you are not an OTW member, you can still ask the candidates questions or campaign for/against a particular candidate or candidates on social media. We do not seek to discourage civil and appropriate discussions about our candidates' opinions. Instead we ask members of the public to be considerate of all candidates and to carefully consider the information being promoted on social media. We encourage members of the public to read candidate election materials, submit questions to candidates and be an active participant in the election process.

Per a recent announcement, the Elections Committee will be hosting chats with our candidates next weekend. Please consider attending if you are interested. This year's election will be held August 11-14. It will open at 12:01am UTC on August 11 and close at 11:59pm UTC on August 14 (What time is that for me?).

The Strategic Planning Committee and the Board of Directors would like to announce that revisions to the 2023-2026 Strategic Plan are complete. After the end of the 2017-2020 Strategic Plan, we underwent a rigorous research and drafting process to determine the OTW’s priorities and goals, as well as the steps we would need to take to accomplish them over the next three years. The plan does not limit the organization to these goals or projects, but rather provides guidance and direction on a general path forward.

The Strategic Plan is a document intended to guide the progress of the Organization's work over the next several years, and is based on the Vision Statement, which has been public since July 2022. The Strategic Planning Committee received and implemented lots of great responses during several rounds of volunteer and chair feedback.

Strategic Planning would like to thank the OTW’s volunteers, donors, supporters, users, and broader community for their patience and engagement. The support of our community continues to make it possible for this organization to be proactive about our role in fandom and beyond, and continue to serve fans.

Implementation of the plan begins July 2023. The Strategic Planning Committee will use an implementation support plan to outline the ways that our committee and the OTW are committed to the success of this plan.

2023-2026 Strategic Plan

Each goal of the plan fits within a larger theme goal. The plan responds to themes from the Vision Statement and beyond, including Diversifying Spaces, Internal Stability, Paid Staff, Governance Development, AO3 Development, Cybersecurity, Diversification of Fundraising, and External Communication.

3 months:

  • Strategic Planning Committee begins Implementation Monitoring support to ensure progress on goals.
  • Diversifying Spaces - Diversity Consultant Research Officer: Diversity Consultant Research Officer (DCRO) provides their first report to the Board.

6 months:

  • Diversifying Spaces - Recruitment: Each committee will have reviewed research on and taken action to improve diversity and decrease bias in candidate selection processes.
  • Paid Staff - Paid Staff Transition Officer: Paid Staff Transition Officer (PSTO) is selected and begins research.

9 months:

  • Cybersecurity: Initial steps for cybersecurity goals are complete, and continuing sequence is begun.

12 months:

  • Diversifying Spaces - Volunteer Coalitions: Research into volunteer coalitions is completed and initial volunteer coalitions start being formed.
  • Internal Sustainability - Succession Planning: Committees and workgroups will have a plan in place to handle the planned or unexpected loss of an essential volunteer.

15 months:

  • Paid Staff - Feasibility Research & Needs Assessment: Paid Staff research on feasibility and need is complete, and final findings are presented by PSTO.
  • Governance Development - Governance Research Governance research from prior plan finishes being presented to Board and members.
  • Internal Sustainability - Retention: Organization retention data and research is internally published.

18 months:

  • Internal Sustainability - Documentation: Committees finalize processes for reviewing documentation.
  • Paid Staff - Paid Staff Transition: A decision is made on incorporating paid staff, and transition begins.
  • Diversification of Fundraising - Research on Fundraising Methods: Review of the current fundraising model, its internal and external impact, and potential fundraising methods is underway.
  • External Communication - Strengthen Overall Communications Strategy: International and multilingual external communications strategy is clarified and further developed.
  • External Communication - Strengthen Consistency and Reach of Public Messaging: Clear guidance for consistency across our platforms to support raising awareness of the OTW mission is developed.

24 months:

  • Internal Sustainability - Conflict Management: Procedures for dealing with personnel conflict are drafted, approved, and put into practice.
  • Diversification of Fundraising - Fundraising Planning Report: Research findings of the internal review and external research on fundraising methods and other non-profit fundraising is compiled and shared.

30 months:

  • Diversification of Fundraising - Review and Implementation: Fundraising research is assessed and a decision on implementation is made.

33 months:

  • Governance Development - Governance Proposal: Governance proposal(s) are shared by the Board for feedback.

36 months:

  • Governance Development - Governance Implementation: Governance proposal feedback is gathered and the Board decides on implementation.

Ongoing Work:

  • AO3 Development - Continued Maintenance and Support of AO3: Regular maintenance and support to ensure the AO3 site is stable, secure, and performant.
  • AO3 Development - Privacy and Compliance: Review and overhaul of cookies & cookie policy to meet the requirements of privacy laws.
  • AO3 Development - Internationally-Accessible AO3 Interface: Finalize multi-language email notifications and pursue possible avenues for making additional user-facing text translatable.

Every 3 months:

Five Things an OTW Volunteer Said

Every month or so the OTW will be doing a Q&A with one of its volunteers about their experiences in the organization. The posts express each volunteer's personal views and do not necessarily reflect the views of the OTW or constitute OTW policy. Today's post is with Amy Lowell, who volunteers as a co-chair and premiums specialist for our Development & Membership committee.

How does what you do as a volunteer fit into what the OTW does?

I am the co-chair of the Development and Membership committee as well as the Premiums Specialist. As a member of the Development and Membership committee, I help conduct the fundraisers that pay for all of the things that make the OTW and its projects run. As premiums specialist, I am responsible for ordering, maintaining, and shipping all donor thank-you gifts. I also help coordinate giveaways and display items for conventions where OTW has a presence.

What is a typical week like for you as a volunteer?

I don’t have typical weeks, since what I do varies so much by the time of the year. Outside of the drives, I usually will answer donor questions, send out thank-you gifts to donors, plan and prepare for upcoming drives, and look for new items and vendors for new thank-you gifts.

During the drive, our committee is constantly monitoring incoming donations and answering questions, and I am also monitoring thank-you gift requests so that I can get ahead of items that need to be reordered to fulfill donor requests. Then after the drive I work to get all of the thank-you gifts out to the donors. Luckily, I have an amazing shipper in Europe who handles shipping to that area, but we can have 4,000+ thank-you gifts that need to be packed, labeled, and shipped, so in the weeks after the drive I pretty much do nothing else.

What made you decide to volunteer?

Way back when, I was a vidder who had many videos purged, so when I heard about OTW’s preservation work, I was intrigued and started to look into the organization. Learning that it was an ALL volunteer organization made up of people who just really cared, not people getting paid, I decided to volunteer.

What has been your biggest challenge doing work for the OTW?

Time zones. Having an organization whose members span around the world makes for some unconventional meeting times. Other than that, probably just fitting in my paying job and family during those weeks surrounding the drive when there is so much work to get done in a short amount of time.

What fannish things do you like to do?

I read a lot, but mostly my whole family is pretty much a bunch of fandom nerds, and I do a lot of fandom-related crafting. We have several Christmas trees dedicated to different fandoms. I make a lot of cosplay costumes; many fandom inspired blankets, amigurumi, and accessories; and most recently made my youngest son’s furniture look like Minecraft items.

Translation Volunteers

If you enjoy working collaboratively, if you're fluent in a language other than English, if you’re passionate about the OTW and its projects, and want to help us reach more fans all around the world, working with Translation might be for you!

Translation volunteers help make the OTW and its projects accessible to a wider global audience. We work on translating content by the OTW and its projects from English to other languages, such as site pages, news posts, AO3 FAQs and AO3 Support emails. (However, we do not translate fanworks.)

We really need volunteers who speak Afrikaans, Arabic, Bengali, Bulgarian, Catalan, Estonian, Filipino, Hebrew, Hindi, Indonesian, Korean, Lithuanian, Macedonian, Marathi, Norwegian, Persian, European Portuguese, Serbian, Slovak, Slovenian, Swedish, Thai, Turkish, Ukrainian and Welsh—but help with other languages would be much appreciated. If you're interested in starting a team for a language we don't have yet, you're very welcome to!

(Please note that our Chinese, Croatian, Czech, Danish, Dutch, Finnish, French, German, Greek, Hungarian, Italian, Japanese, Malay, Polish, Brazilian Portuguese, Romanian, Russian, Spanish and Vietnamese teams are not accepting new members at this time.)

From approximately 12 PM UTC on July 10, 2023, to 4 PM UTC on July 11, AO3 was largely unavailable due to a distributed denial-of-service (DDoS) attack. We've made several changes to the Archive's technical setup to face this threat.

The attacks haven't stopped yet, but we're doing everything we can to keep the Archive up with minimal disturbance. We don't know who is responsible for these attacks or the motivation behind them. An online group has claimed responsibility, but there is no reason to believe this claim. According to multiple cybersecurity experts, they are not a reliable source of information and they misrepresent both their affiliation and their motives. If you see any claims from this group, or from anyone else claiming they know who is responsible, we recommend treating them with skepticism. Furthermore, we urge you not to engage in hateful rhetoric against any groups they claim or are reported to represent.

We've been doing our best to provide quick updates as the situation unfolds on the AO3_Status Twitter and ao3org Tumblr. However, we know not everyone follows those accounts or can access these updates, so here's what you need to know:

  • No Archive data has been compromised. You don't need to worry about your password or private information. However, if you still wish to do so, our FAQ has instructions for changing your password or updating the email associated with your account.
  • We attempted several different mitigation and blocking methods and settings changes to counter the attack. These brought the site up intermittently, but were not enough to contain the attack. Eventually, we implemented Cloudflare's Under Attack mode as a temporary—and extremely effective—solution. Cloudflare is a service that provides added security between our servers and the internet. Under Attack mode is not meant to be a permanent part of the Archive's setup. All content remains on our servers.
  • You may be seeing a Captcha challenge when you access an AO3 page. That happens so that the Archive can make sure you're a human and not a robot. We know it's annoying, and we're sorry! We also know some browsers and older devices aren't currently able to access AO3. These measures are temporary and will be reassessed once the attack has stopped.
  • In addition to AO3, both the Organization for Transformative Works website and our donation form (which is hosted using a third-party service) were also targeted. We're working on bringing the websites back, too, but as our donations go through a third-party service, we can’t predict when donors will be able to access it.
  • While our donation form was down, a scammer briefly tried to impersonate the @AO3_Status account on Twitter to get money from fans under false pretenses, but their account has now been suspended. Please be wary of any efforts to get donations for the OTW or its projects at this time, as other scammers may be at work. We can only accept donations through our website once the site can be accessed.
  • For the time being, we have disabled the Support & Feedback form and the Policy Questions & Abuse Reports page. The latter in particular was being targeted with a huge influx of spam as part of the attack. That's why the form has an emergency "Sorry, you have been blocked" security warning. If you see it, please don't worry; you haven't actually been blocked!
  • We have turned off invitation requests for new AO3 accounts as a precautionary measure against spammers. If you already have an invitation, you can still use it to create an account. If you're in the queue and waiting for an invitation, it will be a few days. We'll let you know on Twitter and Tumblr when we start sending invitations again.
  • What can you do to help? Keep browsing AO3 normally. Kudos and bookmark each other's works as you usually do, publish new works and chapters, and leave plenty of comments! If the site is a bit slow to load, just try again. We'll continue to do everything we can to make sure AO3 works as smoothly as possible for everyone, but there may be the occasional hiccough while these attacks continue.

We're disabling comments on this post because this situation is still unfolding and taking up all the focus of our all-volunteer team, so we can't monitor or reply to comments here at this time.

However, please know that we see and appreciate all the supportive messages and cute gifs you've been sending in the replies to our posts and tweets in the past couple of days. We're incredibly grateful for your support!

Organization for Transformative Works Elections News: Cast Your Vote

The Election season is in full swing! Chats with candidates are coming up soon. You can find links to the candidates' answers to your questions at the bottom of this post.

There will be four public chats, each lasting ninety minutes. All four chats will have three candidates in attendance. Chats will take place in our public chatroom.
They are scheduled for:

These chats will provide attendees the opportunity to ask the candidates questions not already covered in their platforms, bios, and Q&A, as well as to ask individual questions of specific candidates. New questions will only be accepted during the first hour of the scheduled chat time to make sure candidates have time to appropriately address them all.

We hope you can join us for one or all of these chats!

Please note that though the link to the public chatroom is already active, chatting capabilities will not be enabled until approximately half an hour before the chats begin.

  • On the login page, you'll need to provide a screen name.
  • Once you enter the server, you'll find a list of users on the right and a list of chat rooms on the left. Settings are available via the gear icon on the lower left, near your screen name; there you can choose whether you prefer a dark or light chat room appearance, among other options.
  • There will be four rooms available to chat attendees who are not candidates or Elections Committee volunteers: general, candidate_chats, open_chat and questions.
    • General is where you'll find a list of rules for the chats. Please read through these carefully before entering the other two rooms.
    • Candidate_chats is where the candidates will answer questions and debate among themselves. Only the candidates and moderator will be able to chat in this room.
    • Open_chat is where all attendees can participate and talk to each other. We ask that you try to stay on topics related to the election. A moderator will be in the room, so if you have a question for the candidates, you can signal the moderator with o/, the candidate's name, and the question. Use o// if it's a follow-up question to the current discussion.
    • Questions is where the moderator will compile a list of all questions. Only moderators will be able to chat in this room.

I. BOARD OF DIRECTORS UPDATE

Board held a public meeting on 2 July; they’ve heard the feedback about needing to improve for the next meeting, and they are exploring options. Thanks to everyone who offered up ideas for making Board meetings run better in the future - they fully intend to make changes for next time and beyond.

During the meeting, they shared updates on diversity, including their recent post, and they also shared an update to our Code of Conduct to include caste as a protected class. Board hopes to have more updates, including additional progress in their search for a DEI consultant, by its next meeting.

As part of the diversity consultant process, Board asked their Diversity Consultant Research Officer (DCRO) to help with requirements gathering and to survey volunteers for high-priority topics. The DCRO has finished this feedback period and are hoping to begin entering negotiations with specific consultants by September; they’ll be reaching out to consultants early in July.

II. AT THE AO3

Open Doors announced the import of Stayka’s Saint Seiya Archive, an archive dedicated to fanworks inspired by the manga Saint Seiya, and Smoochies, a multi-fandom fanfiction and fanart archive. Meanwhile, Support was on track to receive 1,600 tickets again in June at the time of this writing.

Accessibility, Design & Technology has been working with Policy & Abuse, Support, and the wonderful team at the OTW’s spam detection service to stay on top of some gnarly spam issues.

Finally, Tag Wrangling took some actions this month to update several canonical freeform tags related to the alpha/beta/omega-verse trope across a number of fandoms in order to remove an acronym that they learned was also an offensive slur. It would like to thank the volunteers and users who took the time to alert the committee to this issue. In May, wranglers handled more than 420,000 tags across more than 58,200 fandoms—more than 950 tags per wrangler!

III. FANLORE OUTREACH

Fanlore Bingo was a big success this year with 37 participants who completed at least one bingo and 26 who got a total blackout! Fanlore’s graphic designers created some lovely fruit and vegetable themed graphics while other volunteers pitched in to award badges.

Fanlore also geared up for its next themed month, Fandom in Color, running throughout July—so be sure to follow its social media (Twitter and Tumblr) for some awesome page spotlights!

IV. ELSEWHERE AT THE OTW

Development & Membership’s table at Euro-Con in Sweden was a huge success! Its volunteers are continuing to work on updating their convention outreach materials and have been applying to table at more conventions this year.

It’s hard to believe that it’s been three years since the last one, but Legal is preparing its submission to the U.S. Copyright Office seeking renewal of the legal exemption that allows makers of vids and fan edits the ability to use material from DVDs, Blu-Rays, and streams. Legal also responded to a number of user queries about intellectual property law and proposed U.S. legislation and worked with a few other committees to write a post responding to user questions regarding AO3’s policies regarding, among other things, CSEM response and data retention. The committee is also thrilled to extend a huge welcome to two new interns.

Systems kept busy in June auditing the OS versions of its systems in preparation for upgrades to the recently released version of Debian.

Communications has been reviewing its news distribution practices to social media outlets which affects both our future staffing and training plans. We have dropped manual posting to two little-used accounts—LiveJournal and Dreamwidth—in favor of automated feeds available at those sites. V. GOVERNANCE

Election season is upon us! The candidates’ platforms and bios are on Elections’ website. (Sadly, one candidate has withdrawn—we wish them the best!) The election will take place August 11 – 14, and Development & Membership worked with Elections to hold a mini-drive at the end of June to register voters.

Looking ahead, Finance has been focused on prepping for the 2022 audit by making year end adjustments, reconciling accounts, and updating audit schedules, and Strategic Planning has been reviewing and incorporating final suggestions to the upcoming 2023-2026 Strategic Plan in preparation to post the complete version.

Are you great at admin and enjoy the satisfaction of completing short tasks and ticking them off to-do lists? Or do you have experience in HR, volunteer management, data privacy and other related areas? Volunteers & Recruiting is looking for additional volunteers to help our busy team!

We're excited to announce the opening of applications for:

We have included more information on each role below. Open roles and applications will always be available at the volunteering page. If you don't see a role that fits with your skills and interests now, keep an eye on the listings. We plan to put up new applications every few weeks, and we will also publicize new roles as they become available.

Volunteers & Recruiting Volunteer

Are you great at admin and enjoy the satisfaction of completing short tasks and ticking them off to-do lists? Or do you have experience in HR, volunteer management, data privacy and other related areas? Volunteers & Recruiting is looking for additional volunteers to help our busy team! Volunteers & Recruiting volunteers guide and manage services, policies, recruitment and volunteer management for the entire organization; compose and maintain organization policy and training documentation; and communicate with other committees and workgroups in the Organization for Transformative Works on matters related to organization tools and staffing needs. Volunteers & Recruiting volunteers also serve as a neutral party for personnel-related issues.
