Unit B, Twisted Sisterhood, and Oz Magi, a group of HBO's Oz fanfiction archives, are being imported to the Archive of Our Own (AO3).

These archives are being imported to the AO3 because of their age. Some content was hosted on Yahoo! Groups, which is now defunct. Other content is hosted using software that is out-of-date and could break at any time, and there's no one to repair it. The Oz Magi gift exchange collection has already moved to AO3, and we will now be importing its earlier works that were posted elsewhere. We want to make sure that this Oz fiction remains accessible to everyone who wants to read it!

The purpose of the Open Doors Committee’s Online Archive Rescue Project is to assist moderators of archives to incorporate the fanworks from those archives into the Archive of Our Own. Open Doors works with moderators to import their archives when the moderators lack the funds, time, or other resources to continue to maintain their archives independently. It is extremely important to Open Doors that we work in collaboration with moderators who want to import their archives and that we fully credit creators, giving them as much control as possible over their fanworks. Open Doors will be working with Trillingstar to import Unit B (including Cellblock 5), Twisted Sisterhood (including TSXF), and Oz Magi into separate, searchable collections on the Archive of Our Own. As part of preserving the archives in their entirety, all fanart and fanvid files currently in the archives will be hosted on the OTW's servers, and embedded in their own AO3 work pages.

We will begin importing works from these Oz archives to the AO3 after May. However, the import may not take place for several months or even years, depending on the size and complexity of the archives. Creators are always welcome to import their own works and add them to the collections in the meantime.

What does this mean for creators who had work(s) on these archives?

We will send an import notification to the email address we have for each creator. We'll do our best to check for an existing copy of any works before importing. If we find a copy already on the AO3, we will invite it to the collection instead of importing it. All works archived on behalf of a creator will include their name in the byline or the summary of the work.

All imported works will be set to be viewable only by logged-in AO3 users. Once you claim your works, you can make them publicly-viewable if you choose. After 30 days, all unclaimed imported works in the Unit B and Magi collections will be made visible to all visitors. However, the Twisted Sisterhood works will remain restricted to logged-in AO3 users only. Once the import is complete, we will then permanently close down the Twisted Sisterhood and Unit B sites.

Please contact Open Doors with your Unit B, Twisted Sisterhood (TSXF), and Oz Magi pseud(s) and email address(es), if:

  1. You'd like us to import your works, but you need the notification sent to a different email address than you used on the original archives.
  2. You already have an AO3 account and have imported your works already yourself.
  3. You’d like to import your works yourself (including if you don’t have an AO3 account yet).
  4. You would NOT like your works moved to the AO3.
  5. You are happy for us to preserve your works on the AO3, but would like us to remove your name.
  6. You have any other questions we can help you with.

Please include the name of the archive in the subject heading of your email. If you no longer have access to the email account associated with your archive account, please contact Open Doors and we'll help you out. (If you've posted the works elsewhere, or have an easy way to verify that they're yours, that's great; if not, we will work with the archive mod to confirm your claims.)

Due to an influx of abusive spam comments on April 21, 2024, we temporarily disabled all guest comments across the site. We have now re-enabled the ability to leave guest comments, but if you comment while not logged into an account, you may encounter a verification page that checks that you are not a bot. We are also working on other ways to help reduce spam, including a small change to the default comment settings on the work posting form that will be rolled out soon.

What to do about spam you've received

If you've received a small number of spam comments, you can mark the comments as spam, using the "Spam" button at the bottom right of the comment. This helps to train our spam blocker to recognize the comments as spam.

If you've received hundreds of spam comments at a time -- so many you can't remove them all by yourself -- you can contact our Policy & Abuse team so that they can help with removing them in bulk. Please include your username and/or links to any affected works.

How to prevent spam on your works

The vast majority of spam comments are left by guests, so you can help prevent spam by disabling guest comments on your already-posted works.

  • To do this for an individual work, go to the Edit Work page. In the Privacy section, select the option "Only registered users can comment". Then select the "Post Without Preview" button, or select the "Preview" button and then the "Update" button to save your changes.
  • You can also quickly edit the comment settings on multiple works at once rather than having to edit each one individually.

    On your Works page, select the button labeled "Edit Works" found towards the top right of the page on desktop (or below the # of Works heading on mobile). This will take you to the Edit Multiple Works page. All of your works are listed here, grouped according to fandom. Check the box next to each work that you wish to edit. If you intend to edit all your posted works, you can select the "All" button, which is located below the "Edit Works" button. If you'd like to clear your selections, select the "None" button in the same location. Once you have made your selections, select the "Edit" button towards the top or bottom of the page.

    In the Privacy section, select the option "Only registered users can comment". Then select "Update All Works" to apply the change to all of your selected works at once.

Upcoming changes to fight spam

In the coming days, we will be rolling out a change to the work posting form, which will affect who can comment on new works by default. You can easily change this setting before or after posting.

We currently offer various privacy settings for your works, including options to enable comment moderation or restrict your work to logged-in users. You can also choose who can comment on your work:

  • Registered users and guests can comment
  • Only registered users can comment
  • No one can comment

Right now, "Registered users and guests can comment" is selected by default.

Once we have deployed this code change, "Only registered users can comment" will be the default selection. If you don't change anything in the privacy settings, guests (including spammers and bots) won't be able to leave a comment on your work. You can select a different option before or after posting if you wish to allow comments from both guests and registered users, or if you don't want to allow any comments at all.

The comment settings on existing works and drafts will not be affected by this change.

We're hoping this change will be one way of helping to combat spam comments and anonymous harassment, and we will continue to work on features that let you tailor the Archive to your needs.

Bullhorn and the words 'OTW Announcement'

Although OTW News can be accessed through various social media platforms, today we'd like to announce an additional option. You can now subscribe to get OTW News delivered to your Inbox. This service is being offered both for reader convenience as well as a workaround for issues fans experience, such as the inability to add links to Instagram posts, missing news posts due to algorithm shenanigans or busy days, or not using the social media sites we post to (or any social media at all).

The OTW News by Email service is free and available in multiple languages. There is further information at the link, but please also review the following:

  1. Not all OTW News gets translated, and even when posts are translated, they may not be available in every language. If you want to receive a copy of all news posts each month, please choose English in addition to your preferred language(s).
  2. Including English, there are 16 languages currently available and it is possible more will be added in the future. We will announce this in the OTW Newsletter should this happen.
  3. There are three types of delivery options. By default everyone will be signed up for emergency messages (although you can uncheck that option before subscribing).
  4. On average, English language OTW News posts go out 3 times each week. If you would prefer fewer emails in your inbox, choose the Digest option which will email you once at the end of each month with blurbs and links to all that month's posts.
  5. If you are subscribed to Individual News Posts, you should receive posts for each language you chose within a few hours of the post going public. Timing for each language post may vary depending on the order in which they were posted.

Should you have problems with the subscription process, please check the following:

  1. After you chose your subscription options and clicked on subscribe, did you receive an email to verify your address? (Note: you will be redirected to a webpage once you subscribe, but the button there will not confirm your subscription.) To start getting messages you must click on the link in the email sent to you.
  2. Did you receive a confirmation email after you verified your address? If not you may want to try subscribing again.
  3. If it's been several hours since a post went out and, despite being subscribed to Individual News Posts you have not received a copy, check your spam folder. Or, if you use Gmail, your Social folder. Make sure to mark our emails as Not Spam.
  4. Have you been receiving messages in your Inbox but now they're ending up in spam? Be sure to open an email regularly, even if you don't read it. Many email services respond to your behavior and will assume a sender is spamming you if you receive emails from a certain address often but never open them.

If you have made the above checks and are still having an issue, you can contact the Communications Committee for help in troubleshooting your news delivery.

PHOENIX: Michael Biehn Archive, a multi-fandom fanworks archive focusing on characters played by the actor Michael Biehn, is being imported to the Archive of Our Own (AO3).

PHOENIX: Michael Biehn Archive has been hosted on an eFiction site, but it became insecure and Tarlan, the moderator, had to restrict access. Tarlan says, “I am moving the archive onto AO3 as it has far better features for uploading, sharing, reading, downloading and searching for works. More importantly, it is being maintained by a bank of volunteers who LOVE fandom in all its many forms and will ensure the stories remain safe, secure and accessible for the foreseeable future.”

Five Things an OTW Volunteer Said

Every month or so the OTW will be doing a Q&A with one of its volunteers about their experiences in the organization. The posts express each volunteer's personal views and do not necessarily reflect the views of the OTW or constitute OTW policy. Today's post is with Jennifer D2, who volunteers on our Support committee.

How does what you do as a volunteer fit into what the OTW does?

I have two volunteer hats at OTW! I am a Support Volunteer for AO3, and I also spend a little time as an Import Assistant for Open Doors. I’ll be talking about my Support role, because that’s where I spend most of my volunteer time.

As you probably know, AO3, or Archive of Our Own, is the fanwork Archive that OTW runs. Sometimes, when you’re using AO3, you might run into a problem! That’s where Support comes in. You can contact us using the link at the bottom of any AO3 page. No question too small! Users write in with questions about getting accounts or even just getting access to the Archive, or maybe a creator is struggling with posting their work. Or a dreaded error message comes up. We get all kinds of questions.

I love doing Support work. I mean I really love it. I get to talk to people about AO3, and hopefully I get to help people! What’s not to love? I work with a fantastic team and two really great Chairs (and one great retired Chair). I’m blown away by the professionalism, enthusiasm, and deep knowledge of the Archive that my teammates bring to their work. We do all this in our free time, so we must love it!

If you are having problems with your experience at the Archive, we want you to write in; we’d like to try to help. The flip side of that is that we are a mighty but rather small team, so if you write to us, please have patience. We will get to your ticket; it just might take a little while.

What is a typical week like for you as a volunteer?

I work 2-3 hours on Support every day (because it’s just so much fun I don’t want to take any time off!). First I catch up on our group chat, to see what issues might be happening or what new things people might have solved. Then I check out my “current claimed tickets” pile to see if anyone has responded to me. Then I alternate between taking new tickets and “beta”ing, or editing, tickets other Support volunteers have answered. That’s right—almost none of our answers go out without a second set of eyes looking them over! We want to be really sure we got it right.

My personal favorite is answering non-English tickets. We work closely with the fabulous Translation committee to craft the right answers in users’ first languages. Sometimes I also spend a little time working on some of the computer software tools we use in Support.

One thing that I have to mention, that I love, about working at OTW is how willing people are to teach each other how to do things without mocking them for not already knowing. It’s a continuation of AO3’s origins, where people taught themselves how to build an archive in response to LiveJournal’s strikethrough and other fanwork losses.

What made you decide to volunteer?

I’d been a devout reader on AO3 for years, and I had some free time, so when the call went out for Support volunteers I thought, hey, let’s see if I get in! One of the best decisions I ever made. I’m so grateful to the leaders for taking a chance on me.

What has been your biggest challenge doing work for the OTW?

It’s a technical challenge: I still don’t have the hang of challenges and prompt memes! I’m learning, but when those tickets come up, I confess I often leave them to others who are much better versed in those useful but tricky features that the Archive provides. Give me another five years, and I’ll be an expert!

What fannish things do you like to do?

I haven’t been that active in fandom since the pandemic hit. I used to go to science fiction conventions fairly often, and once I got to go to a local slash con, which was a revelation!

I play on Tumblr every day where I get to see others in my fandoms. I have, in the past, written for my fandoms, but the writing bug has eluded me for a few years. Never say never, though! I’m sure I’ll get back into writing (almost exclusively slash—does that term date me? I’m fandom old!) sooner or later.

I can’t draw worth a hoot, but I really enjoy others’ art. I’ve also been known to record a podfic here or there. And of course I read AO3 every day.

I. 101 IMPORTS

Open Doors posted their 2023 roundup and announced the completion of over 100 at-risk archive imports since 2012! They are continuing to work on previously announced imports and will be announcing new incoming archives soon.

II. AT THE AO3

AO3 Documentation uploaded two new documents, the brand new Gifts FAQ and an updated History and Mark For Later FAQ. They are still working away on their Review process to check all the uploaded FAQs and Tutorials and see which will need to be revised in the near future.

Accessibility, Design and Technology spent the first half of March testing and deploying an upgrade to Ruby 3.1, which will – among other things – enable future improvements to how PDF downloads are generated. After that, they pivoted to a mini release for a little break from more involved testing. Systems worked alongside AD&T to upgrade the Archive to Ruby 3.1, which will help us towards our goal of bringing our production servers to the newest version of Debian. They also finished a short work for the public that explains the big picture actions taken during last year’s DDoS attacks.

Policy and Abuse received 1,983 tickets in February and Support received 1968 tickets in February, with Tag Wrangling wranglers handling more than 416,000 tags across more than 63,000 fandoms - more than a thousand tags for each wrangling volunteer!

Tag Wrangling also continued work on the ongoing project to address some updates to canonical tags not associated with specific fandoms. In addition to some earlier updates they've made some tweaks to some tags in the Alternate Universe tag tree. Tags for Alternate Universe - Age of Sail, Tudor Era, and American Revolution will now be found subtagged under the "Alternate Universe - Historical" tag, among other improvements.

III. NEW ISSUES AND FACES

TWC published issue no. 42 of Transformative Works and Cultures on March 15, 2024. This was a special issue on the theme of “Fandoms and Platforms,” guest edited by Maria K. Alberto, Effie Sapuridis, and Lesley Willard.

Fanlore is in the process of rolling out an update to its Featured Article process. Meanwhile Legal answered a lot of user queries and released a public post urging users to oppose efforts to pass an overreaching right-of-publicity law in Tennessee, USA.

Development and Membership's Conventions and Live Events had a blast at Ret-Con, where one of our volunteers hosted a panel on fic searching, and at Emerald City Comic Con, where they offered custom AoTree stickers. Tag OTW in photos if you grabbed one, or come see our volunteers soon at Supanova in Melbourne or C2E2 in Chicago.

Communications has new site mods at X, Facebook and LinkedIn and March's 5 Things post featured Tumblr mod, Remi. They also released the results of February's IFD2024 Survey with the assistance of Translation, who wrapped up the last International Fanworks Day survey report translations. They were also hard at work translating news posts and graphics for the April membership drive.

IV. GOVERNANCE

Board is in the process of preparing for their previously announced second quarter public meeting in late April. The Board Assistants Team completed some internal projects and began new ones including the first draft of an organization-wide CSAM policy, which will address how we handle reports of CSAM on our sites as well as attacks similar to the May 2022 Attacks. In addition, the newly appointed Board Cybersecurity Delegate has begun work.

Strategic Planning has been working on the early steps of our Paid Staff and Cybersecurity Strategic Plan and Diversifying Spaces goals. They have received results from an internal SWOT (Strengths, Weaknesses, Opportunities, and Threats) survey from OTW committees.

V. IT’S ALL ABOUT THE PEEPS

Volunteers & Recruiting worked on external recruitment for three Tag Wrangling positions and one Communications position, as well as internal recruitment for one Volunteers and Recruiting position. They’ve also continued working hard behind the scenes on internal projects.

The committee has officially kicked off an Internal Complaint and Conflict Resolution (ICCR) subcommittee, and are in the process of learning and setting up the associated tool for it.

From 22 February to 23 March, Volunteers & Recruiting received 141 new requests, and completed 124, leaving us with 57 open requests (including induction and removal tasks listed below). As of 23 March 2024, the OTW has 859 volunteers. Recent personnel movements are listed below.

The Organization for Transformative Works's April membership drive is over and we are delighted to say that we are finishing with a total of $207,088.91 raised, far exceeding our goal of $50,000. Memberships run for one calendar year from the date of your donation, so if you donate now you'll be able to vote in the 2024 OTW Board elections, which will take place in August.
